When you use our Choose Your Path or service-request form, we may collect your name, email address, phone number, property address, city, state, ZIP code, service selection, and information you choose to provide about your property, trees, shrubs, or concerns.

We use the information you provide to:
- Review and respond to your request and communicate with you about tree-care services.
- Determine whether a requested service fits our current scope.
- Prepare quotes, estimates, service recommendations, and related documents.
- Schedule and manage consultations and tree-care services.
- Create and maintain customer, property, tree-care, and service records when you choose to do business with us.
- Maintain service history and reasonable business records.
- Operate, protect, and improve our website, customer-management tools, and services.
Customer records and our Flora Forever app
If you choose to work with Flora Forever Tree Care, information you provide through our website, by phone, by email, through a quote request, or during service may be added to our internal Flora Forever customer-management app or other business systems. This may include your contact and property information, quotes, selected services, scheduling information, tree-care or service records, and related communications. We use these records to prepare and manage quotes, schedule and provide services, maintain service history, communicate with you, and manage our business relationship.
Access to customer information is limited to Flora Forever Tree Care personnel who need the information for legitimate business purposes. We do not sell your personal information.
Service providers and form processing
We use service providers to help operate our website and business systems. Website form submissions are processed using FormSubmit, a third-party form delivery service, so the information you enter can be delivered to Flora Forever Tree Care by email. FormSubmit states that form submissions may be retained by its service for up to 30 days. Our website hosting, email, database, authentication, or other technology providers may also process or store information when necessary to provide their services to us. This may include limited technical information, such as IP addresses, device or browser information, and authentication or security logs, when generated or required by those providers to operate, secure, or troubleshoot their services. These providers handle information subject to their own terms, privacy practices, and security measures.
We share information with service providers only when reasonably necessary to operate our website and business, communicate with you, maintain customer records, or provide requested services.
Email communications and tracking
When you request or receive our services, we may email you quotes, approval links, signed quote copies, invoices, scheduling information, and other service-related communications. We use Resend to send some of these emails and to receive delivery information. We may record the recipient address, related quote or transaction, message identifier, time sent, and whether an email was accepted, delivered, delayed, opened, bounced, or reported as spam. Email-open detection may use an invisible image (tracking pixel). An open event is an estimate and does not prove that a particular person read the email. You may be able to limit email-open tracking by disabling automatic image loading in your email application.
When you access a quote approval link, our systems may record that the link was accessed and the time of access. If you approve and electronically sign a quote, we retain your selected services, approval and signature, associated timestamps, and the signed document as business records. A recorded link visit or email open is not itself an electronic signature or proof of acceptance.
We use this information to deliver requested communications, follow up on service requests, troubleshoot failed deliveries, document approvals, and maintain appropriate business records. We do not use email engagement information for behavioral advertising or sell it to third parties. Technology service providers
Our business systems may use Supabase for database, authentication, and storage services; Resend for sending and tracking service-related emails; and Cloudflare for website hosting and related infrastructure. These providers may process the information necessary to perform their services, subject to their respective terms and privacy practices. Other providers described in this policy, including FormSubmit, may also process information as described above.
Information sharing and selling
We do not sell your personal information. We may share information with service providers only when reasonably necessary to operate the website, communicate with you, provide requested services, or comply with law.
Data retention
We keep inquiry and customer information only for as long as reasonably necessary to respond to requests, provide and document services, maintain legitimate business and tax records, resolve disputes, enforce agreements, or meet legal obligations. Retention periods may vary depending on the type of record and our relationship with you. We periodically review information we maintain and take reasonable steps to delete or securely dispose of information when it is no longer reasonably needed, subject to our legal, accounting, tax, insurance, safety, and legitimate business obligations.
Security
We use reasonable administrative and technical safeguards intended to protect information submitted through the website and information we maintain in our business systems. No internet transmission or storage method can be guaranteed completely secure. Please do not submit highly sensitive information such as Social Security numbers, financial account credentials, passwords, or medical information through our website forms.
